No mailing of attendance sheets to and from providers.
In conventional systems, subsidizing agencies send attendance sheets
to the providers on a monthly basis. The providers fill those out by hand
and them mail them back to the agency at the end of the month. Assuming
you have 800 children at 150 providers, and assuming you only use one
first class stamp to mail the attendance sheets, your and the provider’s
mailing cost alone for the month is $99. In our cost justification calculator,
we are including only cost savings to the agency.

No manual data entry for the provider.
The provider currently has to fill out the subsidizing agency’s attendance
sheet.  This manual data entry is eliminated. This benefits mostly the
provider and gives an incentive to participate in the program.

No manual data validation and data entry for the agency.
The agency has to receive the attendance sheet and manually type the
information into the subsidy management system. This task is tedious,
error-prone, time-consuming yet very critical. It is completely eliminated
using KinderAttend™. Staff time can be used for case management instead.
Our cost justification calculator allows you to put in an hourly rate as well
as an overhead factor. We have made some assumptions about processing
time for attendance sheets. You can modify those parameters to fit your
specific cost and time situation. The cost savings in data entry provide the
greatest cost benefit.

Payment turnaround is much faster.
Since there is no manual data entry, for those cases where there are no
exceptions, the agency can make payments much faster. Your subsidy
management system can implement direct deposit of payments to the
provider.

Attendance data is more accurate.
There is only one point of entry of data by a staff person. The data is not
transferred from paper to computers and back several times. This eliminates
data entry and calculation errors.

The POS system is more expensive and more difficult to justify than 
the Web system.

Since the POS system requires hardware, there are more costs. Also, the
one-time purchase of the card printer is not included in the cost justification
calculator for the sake of simplicity. This is a one-time expense similar to
purchasing a computer and should be added to the first year expenses.

Additional Statistics
KinderAttend provides the ability to query attendance data for a variety of
statistics, including total attendance time, stability, absences, etc. using
custom query tools. This information could be a motivator to funding sources
like the state and federal governments.
